Departments & groups

Organize your jobs into departments, and grant a whole group of teammates access to one at once.


Departments

A department is just a named bucket for jobs — Sales, Marketing, Operations, whatever fits your company. Go to Departments in the main navigation to create one, then assign a job to it from that job's Settings tab.

Departments matter most for access: granting a team member (or a group — see below) access to a department gives them every job currently in it, and every job added to it later, automatically. You never have to re-grant access when a new job gets created in a department someone already has access to.

Deleting a department doesn't delete its jobs — they just become unassigned (no department), and stay exactly as they were otherwise.


Groups

Requires a Starter plan or higher (same requirement as team collaboration in general).

A group is a named bundle of team members — for example, "Recruiting Team" or "West Coast Hiring Managers." Create and manage groups from Administration → Groups.

Grant a group access to a job or a department, and every current and future member of that group picks up that access automatically — add someone to the group later and they immediately get everything the group already has access to, with no separate invite step.

This is the fastest way to onboard a new hiring collaborator when you already have a group set up for their role: add them to the group, and they're done — no need to individually grant access to every job or department they should see.


How access actually resolves

Someone can end up with access to a job through any combination of:

  • Direct access granted to that specific job
  • Access to the department the job belongs to
  • Membership in a group that has direct access to the job
  • Membership in a group that has access to the job's department

A job's Team tab shows everyone with access to it and which of these paths granted it, so you can always see why someone can see a job even if you didn't grant it to them directly.
