Administration

Account-wide settings: who has access, what each role can do, how email gets sent, and what it says.


Go to Administration in the main navigation. It's organized into five sections, each its own card:

Users

Everyone with any kind of access to your account — team members and employees alike — in one list. Invite someone, change their role, mark them an employee, resend a pending invite, suspend, or remove them. This is the fastest place to manage access when you're not already on a specific job or department's Team tab. See Team collaboration and Employees for what each kind of access actually means.

Groups

Create named bundles of team members and grant them access to a job or department all at once, instead of one person at a time. See Departments & groups for the full explanation — it's the same feature, just administered from here.

Permissions

A reference showing exactly what each role can and can't do: Admin (full access, one per account), Hiring Manager (review, note, score, advance, and reject candidates), and Recruiter (review, note, and score — can't change status). Security and notification settings are visible to everyone regardless of role.

Email Settings

Controls how candidate emails actually get sent — your FocalVAHire Mail address by default, or your own connected Gmail/Outlook inbox if you've set one up (see Integrations).

Templates

Edit the wording of the automatic emails candidates receive: Application received, Stage advancement, Rejection, and Reminder. Templates are set per job, not account-wide — open a job's Settings tab to customize its templates, or use the defaults if you don't need anything specific.
